ECL-Secretary (Level 3)

Provide secretarial and administrative support to the Environmental Cleanup Office (ECL).

Primary responsibilities:

  • Provide administrative support including maintaining calendars; scheduling meetings and conference calls, conference phones, vehicles and requested equipment. (25%)
  • File timekeeping records and other documents when requested. (15%)
  • Word processing and proofreading, create and compile spreadsheets, update databases; share new procedures or important information; create new file folders, distribute forms, fax, scan, photocopy, copy CDs, order printing services, and complete mailings. (40%)
  • Manage incoming and outgoing mail, provide copy and duplication support. (10%)
  • Maintain and supply fax machines, printers, photocopiers and shredders. Maintain office supply inventory. (5%)
  • Ensure phone coverage and lobby reception. (5%)

Qualifications:

  • High School Diploma/GED
  • 55 years of age or older
  • At least 5 years of experience in administrative work
  • Proficient in Microsoft Office (Outlook, Word, Excel, Access, PowerPoint)
  • Knowledge of Windows directory structure and Adobe Acrobat
  • Excellent interpersonal, written, and oral communication skills, and detail-oriented
